An online order goes through five moments: the store shows real stock, the gateway collects payment, the ERP confirms the order and reserves inventory, the CFDI (Mexico's electronic invoice) is issued, and the carrier generates the label and tracking. When store, payments, shipping and ERP are connected, nobody enters anything: each step triggers the next and everything stays on the same order. What you need to decide beforehand is which system is the master for products, prices and stock.
According to the Asociación Mexicana de Venta Online (AMVO, Mexico's online sales association), e-commerce in Mexico reached 941 billion pesos and 77.2 million buyers in 2025. At that volume, entering every order by hand stops being a nuisance and becomes a limit to growth.
What does the complete flow of an online order look like?
It is the chain that goes from the customer's click to the money reconciled in your bank. This is how it looks when connected:
- Store: the customer sees real price and stock and chooses shipping with a calculated cost.
- Payment: they pay by card, SPEI (Mexico's bank transfer system) or cash; the gateway confirms the payment.
- Order: the ERP confirms the sale, reserves inventory and creates the delivery order.
- Invoice: the CFDI is issued with the tax data the customer entered.
- Shipping: when the delivery is validated, the label is generated and the customer receives their tracking.
- Closing: the payment is tied to the invoice; returns and refunds come from the same order.
Where is time lost when systems are not connected?
At every jump between systems. A common scenario: someone copies the order from the store into the back-office system, checks at the bank whether the transfer arrived, quotes on the carrier's website, pastes the address, downloads the label, sends it over WhatsApp and finally invoices in another portal. Every manual step is a place where an error slips in.
| Manual step | Typical error | Consequence |
|---|---|---|
| Entering the order in the ERP | Wrong product or quantity | It is fulfilled wrong or you sell what you do not have |
| Checking transfers at the bank | A payment nobody sees | A paid order that does not ship |
| Copying the address to the carrier | Wrong neighborhood or postal code | Reshipment paid twice |
| Invoicing in another system | Wrong RFC (tax ID) or tax regime | Cancel and stamp again |
What it costs you: hours of data entry that grow with every order, and customers asking "where is my package?" because nobody sent them the tracking.
Step 1: how do you show real stock in the store?
By having the store read inventory from the same system the warehouse uses. In the Odoo store, the stock of each variant is updated in real time because it is the same as the inventory. If your store is on Shopify, the Odoo connector for Shopify published in the Odoo app store sends stock to Shopify after each order sync, which runs every 10 minutes.
Decide from the start who is the master: if the warehouse lives in Odoo, Odoo should be the source of stock and Shopify just displays it. Two systems that change inventory without a rule end up selling what is not there. For warehouse details, see distribution.
Step 2: how is the order confirmed when the customer pays?
With a connected gateway, automatically. Odoo's documentation states that when the customer finishes checkout and the payment is received, the order is confirmed; once confirmed, the delivery order is created automatically and, if you configure it that way, inventory is reserved at that moment.
The exception is manual transfer: according to Odoo, in that case the order is not confirmed on its own and does not reserve inventory until someone records the payment. If you sell a lot by SPEI, it makes sense to use a gateway that notifies you when the money arrives. We compare options in getting paid by card, SPEI and cash.
Step 3: how does the CFDI invoice go out without being entered?
From the same ERP that holds the order and the payment. Odoo's Mexican localization signs invoices according to version 4.0 of the SAT's CFDI (SAT is Mexico's tax authority), works with the certification providers (PAC) Solución Factible, Quadrum and SW Sapien, and sends payment complements. It also has a module that adds to the store the fields that Mexican electronic invoicing requires, so the customer enters their tax data when buying.
Odoo also has an automatic invoicing option in the store: the invoice is sent on its own once the payment is recorded. Before turning it on, define with your accountant what you do with customers who do not ask for an invoice; Odoo's Mexican documentation has a section on the global invoice. What changes at the SAT for 2027 is covered in CFDI 4.0 in Odoo.
Step 4: how are the label and tracking generated?
With a carrier connector inside the ERP. Odoo includes an official connector with Envia: it quotes based on the package and destination, generates the label when the delivery is validated, saves it in the order's history along with the charge and the tracking number, and the customer sees the tracking in their portal. For it to work, each product needs a weight and each customer needs a complete address, phone number and email.
If your store is on Shopify, you can generate the label from the Envia app in Shopify or from Odoo once the order has arrived there; the Shopify connector syncs deliveries in both directions every 10 minutes. Choose one of the two places so you do not duplicate labels. More detail in automatic shipping with Envia.
Step 5: how are returns, refunds and reconciliation handled?
From the same order. In Odoo, when you receive the returned goods, you start the return and the refund in the system; to refund automatically, the payment must have been made with a gateway that supports refunds. With the order, payment, invoice and label linked, bank reconciliation is a matter of comparing, not investigating.
If your store is on Shopify, the connector brings returns and refunds (as credit notes) into Odoo with each sync, and creates an invoice and payment in Odoo for paid orders.
Is the Odoo store or Shopify connected to Odoo the better fit?
Both arrive at the same flow; what changes is how many pieces you maintain.
| Piece | Odoo store | Shopify + Odoo |
|---|---|---|
| Stock | Real time, same inventory | Odoo sends it to Shopify with each sync |
| Orders | Born in Odoo | Arrive in Odoo every 10 minutes |
| Products | A single catalog | The connector brings them from Shopify only on request |
| Payment | Odoo gateways or API | Shopify Payments or an external gateway |
| CFDI | Odoo, with data captured in the store | Odoo, with the tax data that has to be brought over from Shopify |
| Labels | Odoo's Envia connector | Envia app in Shopify or connector in Odoo |
If you are only now choosing a platform, start with Shopify or the Odoo store. If you already have Odoo and something in this flow does not work, what you may need is an Odoo rescue before another integration.
What should you check before automating the flow?
- Which system is the master for products, prices and stock.
- All your products with weight and dimensions; your real boxes registered.
- Which payment methods you offer and how each one signals that the money has arrived.
- How you capture the customer's tax data and what you do with customers who do not ask for an invoice.
- Who reviews the orders that get stuck (pending payment, failed label, rejected invoice).
- An end-to-end test with real orders before announcing it to your customers.
At NIQERA we are an official Odoo partner and we work with Shopify, Envia and EcartPay as partners; we build this flow into online stores connected to the operation.
Frequently asked questions
Can every online order be invoiced automatically?
Yes. In Odoo you turn on automatic invoicing in the store and the invoice is sent when the payment is recorded. The Mexican localization stamps it as a CFDI 4.0 with your PAC.
How often do Shopify orders arrive in Odoo?
With the Shopify connector published in the Odoo app store, every 10 minutes automatically, or manually whenever you need.
What happens with payments by transfer?
If it is a manual transfer, Odoo does not confirm the order or reserve inventory until someone records the payment. With a gateway that confirms the SPEI transfer, the flow continues on its own.
Do I need Odoo to automate my orders?
You need a system that brings together order, inventory, invoice and payment. Odoo does it with official connectors for payments and shipping and with Mexican invoicing built in.
How long does it take to connect everything?
It depends on how many products you have, how clean your data is and how many systems have to be connected. The diagnostic is precisely for estimating it for your case.
