For no lead that arrives through WhatsApp to get lost, every conversation must land in a CRM with an owner, a stage and a next activity with a date. That requires using the WhatsApp Business Platform (the API version, not the phone app), a connected CRM such as Odoo, clear assignment rules and a weekly review of what was left unattended. You do not need artificial intelligence to achieve this: you need order.
Why do leads that arrive through WhatsApp get lost?
Because WhatsApp, used from each salesperson's phone, leaves no trail for the company. The symptoms repeat:
- The message reaches one person's phone; if they are on vacation, nobody sees it.
- There is no record of who handled it, what was quoted or what was promised.
- Nobody schedules the follow-up; the lead cools off on its own.
- When a salesperson leaves, they take the history with them on their phone.
- Management cannot know how many leads came in or why they were lost.
The problem is not WhatsApp, but that the conversation lives outside the system where the sale is managed. The solution is traceability: every contact has an owner, a history and a next step.
What it costs you: leads you paid for in advertising that nobody answered in time, and a customer base that actually lives on your salespeople's phones.
WhatsApp Business app or WhatsApp Business Platform?
To connect WhatsApp to a CRM you need the WhatsApp Business Platform, Meta's API version. Odoo's documentation is clear: its integration only works with Business Platform accounts; neither personal accounts nor the WhatsApp Business phone app are supported. If you use the app with your number today, Meta has a process to migrate that number to a platform account.
The practical difference: the app lives on a phone; the Business Platform connects to your system, so several people handle the same number from the CRM and the conversation is recorded in the company, not on a device. In exchange, Meta charges per message depending on its category (we cover this below).
How does WhatsApp work inside Odoo?
Odoo includes a WhatsApp application that connects to your Business Platform account. It is exclusive to Odoo Enterprise; it does not work on Community. With it:
- You send and receive messages from Odoo, in the Discuss app.
- When a customer writes to your number, Odoo opens a group chat with all the operators responsible for that channel and notifies them.
- When a user takes the conversation, only that user receives the notifications. If they do not respond within 15 days, the customer's next reply goes to the whole group again.
- You can start the conversation yourself with Meta-approved templates, with variable data: the customer's name, a quotation from Sales, an invoice.
Odoo suggests using separate WhatsApp accounts per department to keep communication better organized. For the conversation to turn into a sale, what matters is that it is tied to the lead in the CRM; that is defined when the process is configured, it does not happen by itself. That is exactly what we solve in our WhatsApp + CRM.
What should the CRM record for every lead?
Six data points, always. If one is missing, the lead can get lost:
| Data point | What it is for | What it looks like in Odoo CRM |
|---|---|---|
| Source | Knowing which channel brings leads that actually buy | Source field; leads created from the web form or an email alias |
| Owner | Making someone responsible for answering | Assigned salesperson and sales team |
| Stage | Knowing how close the sale is | Pipeline stages |
| Next activity with a date | Making follow-up not depend on memory | Activities (call, email, meeting) and activity plans |
| History | Letting anyone pick up the conversation | The opportunity's history (chatter) |
| Lost reason | Understanding why it did not close | Lost reason when marking it as lost |
Activity plans deserve attention: they are preconfigured sequences (for example, call today, send a quotation in two days, follow up in five) that are scheduled all at once when launched. Odoo recommends always recording the lost reason, even though the field is not mandatory, for traceability and for reports.
How do you assign leads so none goes unattended?
With rules written into the system, not with "whoever sees it first." Odoo CRM has rule-based assignment: you define which leads go to each team or salesperson (by territory, customer type, product) and Odoo distributes them manually or automatically, as often as you choose, from minutes to weeks. Once assigned, the lead becomes an opportunity.
Odoo also calculates a closing probability for each lead based on your history of won and lost sales, and you can use it in the rules. It is useful, but it does not replace the basics: an owner, a date and a review.
Three practical rules we recommend:
- Every new lead has an owner the same day.
- No open lead is left without a scheduled activity.
- If the owner is absent, their conversations are reassigned, not waited on.
How much does the WhatsApp Business Platform cost in 2026?
Meta charges per delivered message, based on the message category and the country of the recipient. This model replaced per-conversation pricing on July 1, 2025. The essentials:
- Messages your customers send you: not charged.
- 24-hour service window: when a customer writes to you, a 24-hour window opens in which you can reply with free-form messages; each new customer message restarts it. Outside that window you can only write with approved templates.
- Templates: charged according to their category: marketing, utility (for example, order confirmation) or authentication.
- Change on October 1, 2026: according to Meta's developer documentation, charging resumed for service messages and for utility messages sent inside the window, which were previously free. Each number gets 1,000 free service messages per month.
- Mexico: has its own rates and, since January 1, 2026, they can be paid in pesos. Meta announced an increase in the marketing rate for Mexico starting October 1, 2026.
Check the current rate in Meta's pricing table before budgeting: rates were updated four times in 2026. On top of this come Odoo licenses, which we compare in Odoo Online, Odoo.sh or your own server.
What Meta rules must you follow?
The WhatsApp Business messaging policy (updated September 23, 2026) sets three conditions that affect your sales process:
- Prior permission: you can only write to people who gave you their number and agreed to receive messages from you. You decide how to ask for that permission, and Meta recommends asking by message type.
- Honor opt-outs: if someone asks to stop receiving messages, on WhatsApp or by any other means, you must honor it.
- Escalation to a person: you can use automation within the 24-hour window, but there must be a clear way out to a human.
If you later want an AI agent to answer for you, that is another topic: we explain it in what AI agents can and cannot do on WhatsApp and in intelligent agents. First, order; then, automation.
What should management measure every week?
- New leads by source (WhatsApp, web, email, phone).
- Open leads with no scheduled activity. It should be zero.
- Time to first response.
- Opportunities won and lost, and the three most frequent lost reasons.
Odoo CRM's pipeline analysis shows opportunities by stage and by month, and can be viewed as a table or a chart. How to build a dashboard with these and other indicators is explained in the indicators management should see every week.
What mistakes are common when connecting WhatsApp to the CRM?
- Connecting WhatsApp without defining the process. Messages reach the system, but nobody knows who answers.
- One number for everything. Sales, support and collections mixed in the same inbox.
- Sending promotions without permission. Besides costing per message, users can block or report you.
- Not recording the lost reason. Without it, you do not know whether you lose on price, delivery time or for not answering.

Frequently asked questions
Can I connect the WhatsApp Business I use on my phone to Odoo?
Not directly. Odoo is only compatible with the WhatsApp Business Platform. You can migrate your current number to the platform by following Meta's process.
Can several salespeople handle the same number?
Yes. In Odoo, messages that arrive at the number open a chat with all the channel's operators, and whoever takes the conversation follows it.
Does WhatsApp in Odoo work on Community?
No. The WhatsApp application is exclusive to Odoo Enterprise.
Does replying to a customer on WhatsApp cost anything?
Since October 1, 2026, according to Meta, each number gets 1,000 free service messages per month and after that they are charged. Check the current rate for Mexico.
Do I need AI to avoid losing leads?
No. First you need every lead to have an owner, a stage and a next activity. AI can help later, on top of a process that already works.
